Planner Export to Excel option is missing: where to find it

Open the plan in Planner for the web, not the Teams tab, select the three dots in the plan header, and choose Export plan to Excel. Microsoft's support page names the same menu item "Export as Excel", and a Microsoft Q&A answer dated January 20, 2026 says that in some versions the option is under the down arrow next to the plan name.

If it is still missing there, try a different browser, clear the cache, and then ask your admin to contact Microsoft Support.

Why people cannot find it

Some teams use Planner through a Teams tab. That view is handy for daily work, but it is not where the export lives. In January 2025, a Microsoft Community Moderator answer in Microsoft Q&A said the Export plan to Excel option was "only currently available in the Planner web app" and not through the SharePoint web part or within Teams.

There is a second reason. The menu changed as Microsoft rolled out the new Planner. A Microsoft Support article on exporting a plan says its steps "will be updated soon" for the new experience. A Microsoft Q&A answer says that in some versions the option sits behind the down arrow next to the plan name, and that the feature was still rolling out in the new Planner. So the exact name and place may differ from what you see. Exact names may differ on your screen.

Signs this is your problem

Step 1. Open the plan in the web app

  1. Open the Planner web app in a browser from your Microsoft 365 apps.
  2. Sign in with your work account.
  3. Open the same plan you were using in Teams. It is listed under your plans.

If you only have a Teams tab, open the plan from the tab's menu or find it in the web app by its name. The plan is the same plan. Only the window around it is different.

Step 2. Look in the plan header

  1. Look at the top of the plan, near the plan name.
  2. Select the three dots in the plan header. Choose the Excel export option. Microsoft's support page calls it "Export as Excel". A Q&A answer calls it "Export plan to Excel".
  3. If you do not see it, select the down arrow beside the plan name and look there.
  4. When the browser asks about the file, choose Open or Save.

Microsoft's support page says the spreadsheet is saved to your Downloads folder. Exporting does not change your plan.

Step 3. Check what you got

Microsoft's support page says the file lists the plan's tasks with these details: plan name, plan ID, task ID, title, description, bucket name, status, start and due dates, assignments, priority and labels. A Microsoft Q&A answer says the workbook also shows the date of export, with each task on its own row. It reflects the tasks at the time you exported.

The list on Microsoft's support page does not include comments or checklist items. If you need those, see the automatic export section below. The file does not update itself. If tasks change later, export again.

Step 4. If the option is still missing

Try these in order. Stop when it works.

  1. Try a different browser, or a private window.
  2. Clear the browser cache, then reload the plan.
  3. Sign out and sign in again, then open the plan from the web address.
  4. Ask a coworker who is a member of the same plan whether they see the option. This tells you if the problem is the plan or your account.
  5. Ask your admin to contact Microsoft Support.

In one Microsoft Q&A thread, several people said the option disappeared in early January 2025 after working the week before. One person later said it came back, with no stated cause or fix. Microsoft's pages do not describe why the option can disappear. If it vanishes for you, waiting a short time and trying again is reasonable. Our advice, not a Microsoft rule.

In the same thread, a Microsoft moderator said a problem that continues might be on the server side and should go to Microsoft Support. Admins can use Microsoft 365 admin support. If you are not an admin, ask yours to open the case.

Step 5. Fix notes that land in the wrong column

In that thread, one person found that the Notes field did not appear in the export and the text showed in a column called Description instead. They reported that turning off "Show on card" for Notes on all tasks made the data appear in Description after export. This came from a user, not from Microsoft's pages, so test it on one plan first.

Export automatically with Power Automate

The export menu item is a button you press by hand. Microsoft's pages do not show a setting that runs it on a schedule. The Planner connector for Power Automate has an action called "List tasks" ("List the tasks in a plan") and an action called "Get task details" ("Get the task details for an existing task"). The task details include the checklist. Microsoft's connector page also says: "The Planner connector currently supports basic plans only."

Our advice, not a Microsoft rule: build a scheduled flow that runs List tasks for one plan and adds each task as a row in an Excel table stored in SharePoint. Add Get task details inside the loop if you need checklist items. Test it on a small plan first.

The Planner connector page does not list a comments action, so comments are not part of the flow described here.

The PowerShell export is a different tool

Microsoft has a PowerShell cmdlet called Export-PlannerUserContent. Microsoft's page says it describes "how a global admin can export data for a specific user from Microsoft Planner." It writes json files, not an Excel plan export. It is an admin tool and is not the same as the plan menu item.

What to do with the file

The Microsoft Support page says that in Excel you can filter, sort, apply conditional formatting, use What-If Analysis, and create PivotTables, tables and charts. You can also combine task data from several plans into one chart, and share the file with people who are not plan members.

One way to start: make a simple table with Bucket and Status, then count tasks in each. A quick count shows where work is piling up. If you want a live view instead of a file, see "Turn a SharePoint list into a simple dashboard".

What to avoid

If tasks themselves go missing in Teams, see "Planner tasks not syncing or disappearing in Teams". If you are creating tasks from a form, see "Create a Planner task automatically from a Forms response".

Honest limits

Microsoft's pages do not describe why the option goes missing for some people, and the menu wording is changing as the new Planner rolls out. The steps above are the places the option has been reported. The Excel file is a one-time copy. If you need a report that updates, a list or dashboard is a better base than repeated exports.

When to get help

You can build all of this yourself in Microsoft 365. If you would rather have it built and tested for your team, I do that. A tracker like this is a fixed price: $5,000 for one, built in 2 weeks. See "What a SharePoint tracker costs to build". Bring one example of the problem to a free call.

FAQ

Can I export a plan from Teams?

In January 2025, a Microsoft moderator answer said the export was only available in the Planner web app, not through Teams or the SharePoint web part. Open the plan in the web app instead.

Why did the Export option disappear?

Microsoft's pages do not describe a cause. Several people in a Microsoft Q&A thread reported it vanishing in early January 2025, and one reported it returning. Try another browser, clear the cache, and ask your admin to contact Microsoft Support if it stays gone.

Can I export Planner to Excel automatically?

The menu item is manual. The Planner connector in Power Automate has List tasks and Get task details actions, so a scheduled flow can write rows to Excel. Microsoft says the connector supports basic plans only.

Does the Planner export include comments?

The list of exported details on Microsoft's support page does not include comments or checklist items. It lists plan name, plan ID, task ID, title, description, bucket, status, dates, assignments, priority and labels.

Is Export-PlannerUserContent the same as Export plan to Excel?

No. Microsoft describes Export-PlannerUserContent as a PowerShell cmdlet a global admin uses to export data for one user, and its output is json files.
