Planner: copy plan option is missing
In current Planner, open the plan, select the arrow next to the plan name, and choose Copy plan; a Microsoft Q&A answer from February 2026 says the older three dots steps apply only to GCC, GCC High or DoD. If the option is missing, the plan may have no Microsoft 365 group, because a Microsoft moderator reported that only a plan with a group showed Copy plan.
What the option is called and where it sits
Two Microsoft sources disagree on where it sits, so check both places. Microsoft's Copy a plan page says to select the three dots in the plan's upper-right corner and then select Duplicate plan. A Microsoft Q&A answer from February 2026 gives these steps instead: "Open the plan you want to copy." "Click the arrow drop-down next to the plan name." "Select Copy plan." That answer also says the steps listed in the Copy a plan article "currently apply only to GCC, GCC High, or DoD environments" and that Planner "has been updated recently, so some existing articles may not yet reflect the latest interface or behavior."
So the name and the place may differ on your screen. Check both menus before you decide the option is gone.
Why it may be missing
There are four things to check, and they are not the same problem.
- The plan has no group. In a Microsoft Q&A thread a moderator wrote that "when you create a new plan via your Planner, you need to add a group to have the option to copy." For a plan with no group added, there was no Copy plan option. For a plan with a group, there was. The moderator's words were from their own testing in that thread.
- You cannot create groups. Microsoft's page says "If you aren't able to create groups in Planner, you might not be able to copy plans." Groups are set by your admin. Ask your admin.
- The plan is roster-based. The page says "Roster‑based plans don’t support copying at this time." If one plan shows the option and another does not, ask your admin whether the second plan is roster-based.
- You are in an older view. One person in a Microsoft Q&A thread said the web version of Planner showed no copy option, only Copy link to plan. That is a user report, not a Microsoft rule.
Signs this is your problem
- You open the three dots on the plan and see no Copy plan or Duplicate plan.
- The plan was created as a personal plan with no group.
- A coworker sees Duplicate plan on a plan and you do not.
- You use Planner only inside a Teams tab.
Step 1. Open the plan itself
- Open Planner at https://planner.cloud.microsoft in a browser.
- Open the plan you want to copy. Do not just look at its tile in the list.
- Look at the plan name at the top. Select the arrow next to it and choose Copy plan.
- If you do not see it, select the three dots in the upper-right corner of the plan and look for Duplicate plan.
The arrow is the path a Microsoft Q&A answer gives for current Planner. The three dots are the path on the Copy a plan page.
Step 2. Check the group
- Open the plan settings or the group card for the plan. Exact names may differ on your screen.
- Check whether the plan is shared with a Microsoft 365 group or team.
- If it is not, ask your admin or the plan owner whether it can be added to a group. Do this before you change anything. Moving a plan to a group changes who can see it.
Microsoft's page says selecting a group is optional when you make the copy. It lists three options: "Copy a shared plan and make the copy personal", "Copy a personal plan and share the copy with a group" and "Copy a shared plan into another group". That is about where the copy goes. To put the copy in another team or a new group, choose the group when you copy. A Microsoft moderator separately reported that a source plan with no group showed no Copy plan option.
Step 3. Use the option when you find it
- Choose Copy plan or Duplicate plan.
- Pick a name. Pick a group if you want one.
- Wait for the message. Microsoft's page says "You’ll see a toast notification while the plan is being copied and again when the copy is ready."
What a copy keeps and what it resets
Microsoft's page says "A new plan is created using the original plan as a starting point" and "Tasks are reset so work can start fresh." It says task status goes back to Not started and task chat is not copied. Bucket names and order, task names and order, and bucket assignments are copied in both plan types. Priorities, dates, descriptions, checklists and labels are copied on premium plans. On basic plans, those are optional. Attachments can only be copied to the same group. Premium copies add "- Copy" to the end of the plan name. Basic copies add "Copy of" to the beginning.
For a plan you want to use as an example that stays frozen, the copy will not do this. It starts fresh. Microsoft's pages do not describe a freeze or lock for a plan. One way to start: export the finished plan to Excel and keep that file as your frozen example. See "Planner Export to Excel option is missing: where to find it".
Step 4. If the option is still missing
- Try a different browser or a private window. Our advice, not a Microsoft rule.
- Sign out and sign in again. Our advice, not a Microsoft rule.
- Ask a coworker who is a member of the plan whether they see the option.
- Ask your admin whether you can create groups in Planner.
- Ask your admin to contact Microsoft Support if everything above checks out.
Step 5. Rebuild once, then copy that one
If you cannot copy the old plan, build a new one by hand with the buckets and tasks you want to reuse. Put it in a group. Do not start any work in it. Keep it as your master. Next time, copy the master.
Our advice, not a Microsoft rule: name the master plan with the word Master and keep it in a group where only one or two people can edit it. That stops a copy from being used as the master by mistake.
What to avoid
- Do not assume the feature is gone for everyone. Microsoft's page still describes it.
- Do not add a plan to a group just to see the option, without asking who will then see it.
- Do not expect a copy to keep dates, status or chat. Check the table on Microsoft's page for your plan type.
- Do not copy a plan you want to keep as a record. Export it instead.
- Do not trust one forum answer on its own. Menu steps in the threads disagree.
Which plan type do you have
Basic and premium plans copy different amounts. If you are not sure which you have, see "Planner Premium or basic Planner for a 10 person team". If you copy a plan and the alerts you expected do not arrive, see "Planner does not email me when a task is assigned".
Honest limits
The Copy a plan page does not mention templates, a Power Automate way to copy a plan, or a reason for a greyed-out option. The group link comes from a Microsoft moderator's Q&A answer, and the arrow path comes from a Microsoft Q&A answer. If you use Planner for work that repeats every year, a SharePoint list can hold the repeat tasks in one place. That is a different tool, not a fix for this problem.
When to get help
You can build all of this yourself in Microsoft 365. If you would rather have it built and tested for your team, I do that. A tracker like this is a fixed price: $5,000 for one, built in 2 weeks. See "What a SharePoint tracker costs to build". Bring one example of the problem to a free call.
I am Al Davies. I run 250 High Street LLC and build SharePoint trackers and Power Automate flows for operations teams. I work remotely. The first call is free, and I will not try to sell you anything.
