Planner custom views: save filters and grouping for your team

Short answer: Microsoft's roadmap lists an item called "Planner: Custom Views for plans" with the status "In development" and the date "December CY2026". Roadmap items can change, so I treat it as a plan, not a promise. Until it ships, you set filters and grouping again each time.

What Microsoft's roadmap says

Microsoft 365 Roadmap item 576275 lists the title "Planner: Custom Views for plans", the status "In development", and the date "December CY2026". It gives no exact day. The item says users can "save a custom view of a plan and return to it later without re-applying filters, sorting, grouping, and other view customizations." It also says "A team can reuse saved views." It lists the web only and does not say which plan types it covers.

What you can do in Planner today

Microsoft's Planner board page describes these tools.

  1. Open the board and use the Filter menu. It offers a keyword filter, plus filters for due date, label, assignment, and bucket name. You can select multiple values in the due date, label, assignment, and bucket filters.
  2. Type at least 3 characters in the keyword box. Microsoft says the keyword filter applies only after "at least 3 characters."
  3. Use the Group by menu to pick how tasks are grouped.
  4. Select "Clear all the filters" to reset.

Microsoft's board filter page does not say whether these filters are saved when you close the plan. Test it in your own plan.

A workaround while you wait

Our advice, not a Microsoft rule: add a task named "How we filter this plan" and write your filter settings in its notes, so each person sets the same filter the same way. It is a note, not a saved view.

When a list fits better than a plan

If your team needs the same filtered view every day, a public SharePoint list view is saved in the list. People open the list and see the same view. See "Planner vs a SharePoint list" for how I choose. For a plan that needs extra fields, see "Planner custom fields".

What to avoid

When to get help

You can build all of this yourself in Microsoft 365. If you would rather have it built and tested for your team, I do that. A tracker like this is a fixed price: $5,000 for one, built in 2 weeks. See "What a SharePoint tracker costs to build". Bring one example of the problem to a free call.
