> Tasks look different in Teams, the Planner web app and To Do. Why that happens, a checklist to find the cause, and what to try in order.

Short answer: a Planner task that seems missing can be hidden by the view you are in. A task with no assignee never appears in Assigned to me, so open My Plans and the plan itself to find it. If it is still missing, check you are still a member of the plan's group, then check whether the plan or group was deleted.

## Why the same task looks different in three places

The Planner app in Teams brings together Microsoft To Do, Planner plans and Project for the web into one app. Each kind of task is stored in a different service. Microsoft's admin pages list them this way:

- Private tasks (and flagged emails) are stored in Exchange.
- Basic plans and the tasks in them are stored in Azure and managed by the Planner service.
- Premium plans and their tasks are stored in Dataverse. When a task is assigned to a person, it is also stored in the same Azure location as basic plans.

So "Planner" is not one list of tasks. It is a window over several sources. When a task is in one source and your view reads from another, the task seems to vanish.

## What each Teams view shows

When you open the Planner app in Teams, Microsoft says you see these:

- My Day: tasks due today, plus tasks you add to this view yourself.
- My Tasks: Private Tasks, Assigned to me, and Flagged emails.
- My Plans: your To Do lists, basic plans and premium plans.
- Assigned to me collects tasks assigned to you from Teams meeting notes, Microsoft Loop, Planner and Planner premium.

Which view shows which task type:

- Private task: My Tasks, under Private Tasks.
- Task in a basic or premium plan: My Plans, inside the plan.
- Task in a plan and assigned to you: also in My Tasks, under Assigned to me.
- Flagged email: My Tasks, under Flagged emails.

Two simple results follow. A task you made in a plan shows in My Plans for everyone with access. It shows in Assigned to me only when it is assigned to you. A task with no assignee will not appear in anyone's Assigned to me view. It still sits in the plan.

## Diagnosis checklist

Go through these in order. Stop when you find the match.

1. Is the task assigned to you? If not, look in My Plans and open the plan itself, not Assigned to me.
2. Is it a private task, a plan task or a premium task? The place it was made tells you where it lives.
3. Are you on Teams mobile? Microsoft says there is limited functionality on mobile, and users only see plans that are added to a tab in a channel within a team. Check on desktop or the web before you decide anything is gone.
4. Is the task completed? Microsoft's limits page says an active task is one that is not completed. Tip (our advice, not a Microsoft rule): check whether your view hides completed tasks.
5. Is a filter or a grouping hiding it? Tip (our advice, not a Microsoft rule): clear any filter in the plan view and look again.
6. Does the Planner web app show the plan? If the plan appears on the web but not in Teams, the problem is the Teams app or view. If it appears nowhere, check your access and the plan itself.
7. Is it a Project for the web task? Microsoft says only Project for the web tasks created in the default environment sync to Planner.
8. Can you see My Tasks at all? Microsoft says a person's My Tasks is visible when the person is licensed for Exchange Online. Ask your admin if the view is missing for you but not for a coworker.
9. Does Planner appear in Teams? Microsoft says Planner is on by default, and admins can block the app for the whole organization or for specific users. If you do not see it, your organization may not have it turned on.

## What to try, in order

1. Reload the view. Close the plan, reopen it from My Plans, and check again.
2. Open the same plan in Planner on the web. Compare the task count and the task names. Write down any difference.
3. Check the task's assignee. Open the task and look at who is assigned. Reassign it to yourself and see if it shows in Assigned to me.
4. Check My Day. Microsoft says unfinished tasks left over in My Day will be available in the original plan they came from. Look in the source plan, not only in My Day.
5. Check your access. If you were removed from the plan, you will not see it. Ask the plan owner to add you back. Microsoft's support page says plan members who are not owners can leave a plan, and that a plan owner cannot remove themselves.
6. Look for a deleted plan or group. See the next section.
7. Ask your admin about the Planner app and your license. Admins can block the app, and My Tasks depends on an Exchange Online license.
8. For tasks that come from Project for the web, ask your admin about the "Assigned to me" syncing setting. Microsoft says it is on by default and an admin can turn it off for the whole organization.
9. If the task is missing in one view only and a coworker sees the same, report it with the feedback option in the app. Microsoft's pages do not describe how long it takes for a change to show in another view. Give it time, then test again.

## When a task or plan is really gone

Deleting a plan cannot be undone from inside Planner. Microsoft's support FAQ says there is no way to recover a plan. That applies when someone deletes the plan directly.

There is one path for group deletion. Microsoft's limits page says most Planner plans are owned by a group. Microsoft says a deleted group is kept for 30 days and can be restored by the group owner in Outlook or by an admin. Planner is on the list of content that comes back with the group. After 30 days, the group and its content are permanently deleted. Microsoft also says a restore can take up to 24 hours.

So: if a whole team's plan disappeared, ask who deleted the group, and ask your admin right away. Day count matters.

## Planner missing from Teams

Microsoft's support page says: "If you don't see Planner, your organization might not have the app turned on." Fix list, in order:

1. In Teams, select View more apps, search for Planner and select Add.
2. Right-click Planner after adding it and select Pin.
3. If it is not there to add, ask your admin. Microsoft's admin page says Planner is enabled by default, and an admin can Block or Allow the app on the Manage apps page in the Teams admin center.
4. For specific users, the admin page says a custom app permission policy controls access. To pin Planner for users, an admin edits the global app setup policy or assigns a custom one.
5. Our advice, not a Microsoft rule: if the app is added and pinned but still looks wrong, sign out of Teams and sign back in before you ask your admin.

## Planner notifications in Teams

Microsoft's support page says task notifications appear in your Teams activity feed on desktop and in the Teams mobile app. It lists these triggers: someone assigns a task to you or assigns an urgent one, someone changes a task assigned to you to urgent or not urgent, someone changes the progress of a task assigned to you, or someone removes you from a task's assignees. Microsoft's pages do not show a setting to turn these on or off. If one of these events happened and no notice came, ask your admin whether the Planner app is allowed for you.

## Limits that can look like missing tasks

Microsoft lists these limits for basic plans in Planner in Teams, and for all plans on the Planner web:

- Active tasks in a plan: 3,000.
- Tasks in a plan: 9,000.
- Buckets in a plan: 200.
- Assignees on one task: 20.
- Tasks assigned to one user: 9,000.
- Plans owned by a group or user: 400.
- Favorite plans for a user: 100.

Microsoft says these limits can change without notice. They do not apply to To Do lists or premium plans in the Planner app in Teams.

Microsoft also says delta sync lets people receive updates in real time while the app is open. A person beyond the delta-sync limits will not see updates in real time. In that case a coworker's change may not show until you reload. The limits are 100 users per plan for real-time updates, and 400 plans per user.

## Prevention

- Put each team's plan in one place and say so. One plan per team, with a clear name.
- Always assign a task to a person. A task with no assignee is easy to lose.
- Add the plan as a tab in the team channel, so people on mobile can see it.
- Name two owners for each plan, so one person leaving does not strand it.
- Do not delete a plan to "clean up". Complete the tasks and keep the plan.
- Ask your admin to protect groups from accidental deletion, and to tell you when a group is removed.
- Keep a list of important plans and who owns them.

## When a Lists tracker is steadier

Planner is good for tasks. It is less steady when your team needs one record that never moves around between views, plus fields of your own. A SharePoint list holds records in one table. Everyone opens the same list, so there is no "which view am I in" question.

One way to start is a small list with these columns:

- Task (the Title column renamed)
- Owner (Person)
- Due date (Date)
- Status (Choice: 1 Not started, 2 In progress, 3 Done)
- Plan or project (Choice)

To show only open work, make a view that hides 3 Done.

For a side-by-side comparison, see "[Microsoft Planner vs SharePoint list for tracking team work](/guides/planner-vs-sharepoint-list/)". For a move from a spreadsheet, see "[Replace a spreadsheet tracker with a SharePoint list](/guides/replace-spreadsheet-with-sharepoint-list/)". For overdue alerts, see "[Late tasks nobody notices: setting up late alerts](/guides/late-tasks-nobody-notices/)".

## What to avoid

- Do not rebuild a plan before you know where the task went. Check the views, access and license first.
- Do not trust one view. Compare Teams, the Planner web app and My Tasks.
- Do not delete and recreate a plan to "reset" it. Deleting a plan cannot be undone.
- Do not leave tasks with no assignee.
- Do not let a lone owner hold a plan. If they leave, the plan is at risk.
- Do not assume mobile shows everything. It shows plans that are added as channel tabs.
- Do not wait past 30 days when a group was deleted.
- Do not put records with several custom fields into Planner tasks. Use a list.

## When to get help

You can build all of this yourself in Microsoft 365. If you would rather have it built and tested for your team, I do that. A tracker like this is a fixed price: \$5,000 for one, built in 2 weeks. See "[What a SharePoint tracker costs to build](/guides/what-a-sharepoint-tracker-costs/)". Bring one example of the problem to a free call.

I am Al Davies. I run 250 High Street LLC and build SharePoint trackers and Power Automate flows for operations teams. I work remotely. The first call is free, and I will not try to sell you anything.

## FAQ

### Why is Planner not showing in Teams?

Microsoft says your organization might not have the app turned on. Add it from View more apps and pin it. If it is not there, ask your admin to Allow it in the Teams admin center.

### Why is Planner not updating or showing tasks in Teams?

Check the view first. On mobile, Microsoft says you only see plans added to a channel tab. Past 100 users on a plan, or 400 plans per user, Microsoft says updates are not real-time.

### Why are Planner notifications not working in Teams?

Microsoft says task notices appear in the Teams activity feed when someone assigns you a task, changes its urgency or progress, or removes you from it. Its pages show no on or off setting, so ask your admin.

### Why is a task missing from Assigned to me?

Assigned to me shows tasks assigned to you. A task with no assignee stays in its plan but does not show there. Open the plan from My Plans to find it.

### Can I get a deleted plan back?

Microsoft's support FAQ says there is no way to recover a plan. If the whole Microsoft 365 group was deleted, the group can be restored for 30 days, and Planner comes back with it. Ask your admin right away.
