# SharePoint list version history is blank or missing

> Version history missing or blank in a SharePoint list? Learn the causes, how to check versioning settings, what can be restored and what to avoid.

Select the item, then More, then Version history. If it is not there, versioning may be off or your admin may control it: open List settings, then Versioning settings, and turn on creating a version each time an item is edited. History only records changes made while versioning is on.

There are three problems that look alike: the command is missing, old versions are missing, or the Changes column is blank.

## Which problem do you have?

Look at what you see on screen, then jump to the matching section.

1. You select the three dots next to an item and there is no Version history command. See "Problem 1".
2. Version history opens, but there is only one version, or fewer versions than you expect. See "Problem 2".
3. Version history opens and shows dates and names, but the "Changes" column is empty, or clicking a version gives an error page. See "Problem 3".

If your question is only how to see who changed a row, read "[See who changed a row: SharePoint version history](/guides/who-changed-this-row/)". This guide is about the times when that history is blank or missing.

## Problem 1. The Version history command is missing

Microsoft says: "If you don't see Version history, select More, and then select Version history." So first select More in the item menu. The command can be hidden there.

If it is still not there, versioning may be off. Microsoft says: "Version History is turned on by default in SharePoint, but if you don't see the Version History command, it might be turned off." Microsoft's page on how versioning works says: "If you are a Microsoft 365 customer, versioning is turned on automatically when you create a library or list."

Microsoft also says: "Depending on how your admin has set up SharePoint, you might be able to turn on list or library versioning." That means you may not have permission to change it. If the setting is greyed out or missing, ask your SharePoint admin. Microsoft says: "Anyone with permission to manage lists can turn on or turn off versioning for a list or library."

## Turn versioning on for a list

Microsoft's page on versioning says: "On the Settings page, select Versioning settings." Exact names may differ on your screen. Use the Microsoft help page as your guide: Enable and configure versioning for a list or library (see Sources).

For a list, that page says you can require approval, create a version each time an item is edited, limit the number of versions and drafts to keep, and choose who sees draft items. Pick the option that creates a version each time an item is edited. Then edit a test item twice and open its history.

Microsoft's versioning page says you can "Limit the number of versions and drafts to retain." For lists, Microsoft's page on how versioning works says: "Both SharePoint in Microsoft 365 and SharePoint Server List Settings allow a range of 1-50000 major versions." Check the limit shown in your own settings.

## Problem 2. History opens but old versions are missing

There are a few likely reasons. Think about each one.

1. Versioning was off in the past. History only records changes made while versioning is on. Edits made before you turned it on are not in the list. Turning it on now does not bring them back. Microsoft's pages do not describe a way to rebuild older versions.
2. A limit on versions is set. The versioning settings let you limit the number of versions to keep. If the limit is small, the oldest versions can be removed as new ones are saved. Microsoft says: "If your list or library limits versions, you should make sure that contributors are aware that earlier versions will be deleted when the version limit is reached." Check the limit and raise it if you need a longer history. Our advice, not a Microsoft rule: for a tracker that people rely on, keep the limit high enough to cover a full year of edits to your busiest item.
3. The item is new. A new item has only one version. This is normal.
4. The item was copied or re-created. A copy is a new item with its own history. Our advice, not a Microsoft rule: do not use copy and paste as a way to fix a row, because the history stays with the original.

Version history does not bring back a deleted row. A deleted item goes to the site recycle bin. See "[Restore a deleted SharePoint list item or list](/guides/restore-deleted-sharepoint-list-item/)".

## Problem 3. The "Changes" column is blank or a version gives an error

In September 2024, people on a Microsoft Community Hub page described this. They saw version history with four columns: Version, Modified, Modified By and Changes. Earlier versions appeared, but the Changes column was blank, and clicking a version number gave a "404 NOT FOUND" page. One reply on that page said that switching the list back to the classic experience gave the old view back, with the version entries fully populated. Another reply linked the issue to a feature rollout. No answer from Microsoft appears on the page.

What this means for you:

- This was reported by other users, not described as a fix by Microsoft. Treat it as a possible workaround, not an official step.
- Microsoft's restore page does not describe the Changes column, so do not rely on it being filled in.
- You can still compare versions by eye. Open the version before and the version after, and look at the values. Each version shows the item as it was saved.
- If you see this, tell your admin. Admins can report problems to Microsoft.

## What you can restore

Microsoft describes the steps like this. In the Version history window, hover over the date of an earlier version and select the arrow. Then select Restore and select OK.

Microsoft says what happens next: "SharePoint doesn't remove the earlier version you just restored. It creates a copy and makes it the latest version." So restoring does not erase the newer versions. They stay in the history.

What restore does not do, as far as Microsoft's pages describe: it works on one item at a time. Microsoft's pages do not describe a way to restore a whole list to an earlier day from version history. If you need that, you need a backup. See "[How to back up a SharePoint list before someone wrecks it](/guides/back-up-sharepoint-list/)".

## A simple check, step by step

One way to start. Do these in order.

1. Open the list in the browser, not in an app.
2. Select the three dots next to one item. If Version history is not there, select More.
3. If it is still missing, look for the Settings page and Versioning settings.
4. Choose to create a version each time an item is edited. Save.
5. Edit one test item twice. Change a value you can recognize.
6. Open Version history for that item. You should see more than one version.
7. If the Changes column is blank, open two versions and compare them by eye.
8. If you cannot reach the settings, send your admin a note with the list name and what you see.

## What to avoid

- Do not turn off versioning to save space without asking. You lose the answer to "who changed this".
- Do not set the version limit very low on a list that people audit.
- Do not trust the Changes column alone. Open the versions and check.
- Do not use history as your only backup. It is per item.
- Do not edit by deleting and re-adding a row. The history is lost with the old row.
- Do not follow a workaround from a forum without telling your admin. It may change the view for every user.

## When to get help

You can build all of this yourself in Microsoft 365. If you would rather have it built and tested for your team, I do that. A tracker like this is a fixed price: \$5,000 for one, built in 2 weeks. See "[What a SharePoint tracker costs to build](/guides/what-a-sharepoint-tracker-costs/)". Bring one example of the problem to a free call.

I am Al Davies. I run 250 High Street LLC and build SharePoint trackers and Power Automate flows for operations teams. I work remotely. The first call is free, and I will not try to sell you anything.

## FAQ

### Why is there no Version history for my list items?

First select More in the item menu. Microsoft says: "If you don't see Version history, select More, and then select Version history." If it is still missing, versioning may be turned off, or your admin may control it.

### Does turning on versioning bring back old changes?

No. History records changes made while versioning is on. Microsoft's pages do not describe a way to rebuild earlier versions.

### Why is the Changes column blank?

Other users reported this on a Microsoft Community Hub page in 2024. Microsoft's restore page does not describe the column. Compare two versions by eye instead.

### Can I set how many versions a list keeps?

Yes. Microsoft's versioning page says you can "Limit the number of versions and drafts to retain." Open List settings, then Versioning settings.

### Where do I find versioning settings?

Microsoft says: "On the Settings page, select Versioning settings." Reach it from the gear icon, then List Settings.

### Does restoring a version delete the newer ones?

No. Microsoft says: "SharePoint doesn't remove the earlier version you just restored. It creates a copy and makes it the latest version."

### Can version history recover a deleted item?

No. Restore a deleted row from the recycle bin. See "[Restore a deleted SharePoint list item or list](/guides/restore-deleted-sharepoint-list-item/)".
