# Replace a spreadsheet tracker with a SharePoint list

> When a SharePoint list beats a shared Excel tracker, how to move your data in, what you rebuild by hand, and the limits to know.

Short answer: move to a SharePoint list when more than one person updates the tracker, when copies of it go around by email, or when you need reminders and approvals. Keep Excel when one person owns the file and the work is mostly math.

## At a glance

| Item | Number | What it means for you |
|----|----|----|
| Rows in an Excel table you import | 5,000 | Split a bigger sheet into tables of 5,000 rows or fewer, or the import stops. |
| Items in one list | 30 million | After the import, the list can grow far past your old sheet. |
| Items a view can process | 5,000 | Filter each view by status or owner, and index those columns. |
| File attached to a list item | 250 MB | Rows can hold files, up to 250 MB each. |
| Unique permissions in one list | 50,000 (5,000 advised) | Keep access on the whole list, not row by row. |

## Signs your spreadsheet tracker has outgrown Excel

- Two people edit at once and changes get lost.
- Files named "tracker FINAL v3" sit in someone's inbox.
- Nobody knows who changed a status, or when.
- Someone spends time each week chasing owners for updates.
- Your boss asks for a summary and someone builds it by hand.

## Excel file or SharePoint list: what each does well

| Need | Shared Excel file | SharePoint list |
|----|----|----|
| Heavy formulas, pivots, models | Strong | Limited. Export to Excel for this. |
| Many people updating rows | Works, gets messy | Built for it. One row per item. |
| Required fields and dropdowns | Possible with data validation | Built in, set per column |
| Reminders and approvals | By hand | Power Automate flows on the list |
| Different views per team | Filters on one sheet | Saved views, each with its own filter and sort |
| Shows up in Teams | As a file tab | As a list tab |

## How to move the data in

1. Clean the sheet. Keep one heading row and one row per item. Remove merged cells and blank rows.
2. Format the data as an Excel table (Home, then Format as Table). The import works from a table, and a table can have up to 5,000 rows.
3. In Microsoft Lists, SharePoint or Teams, select New list, then From Excel, then upload the file.
4. Pick the table. Check each column type before you go on. Change a date that shows as a number.
5. Name the list, choose where to save it, and select Create.

If the Upload file button is gray, you do not have permission to create a list from a spreadsheet. Ask your site admin. Microsoft says this import is not available in GCC High or DoD tenants.

Build the list on a SharePoint team site, not under My lists. A list in My lists belongs to you alone, and moving it to a team site later is hard. On a team site the whole team owns it.

## What you rebuild by hand

- Formulas. Rebuild them as calculated columns, then check each one against the old sheet.
- Colors. Conditional formatting becomes view or column formatting. For example, past-due items turn red.
- Reports. Pivot tables do not live in a list. Use grouped views, or export to Excel for deep analysis.
- Reminders. "Someone emails the team every Monday" becomes a Power Automate flow.

## Limits to know

- One SharePoint list holds up to 30 million items.
- Keep any single view at 5,000 items or fewer. Microsoft calls this the list view threshold and says you cannot raise it in SharePoint in Microsoft 365. Filter the view and index the columns you filter on.
- A normal team tracker stays far below these limits. A log that grows daily is where they start to matter.

## See one working

[The Delayed Shipments demo](/demo/delayed-shipments/) is a tracker I built for a client, shown with made-up data. It opens in your browser. Late items come first, and each row has an owner. More tools I built are on the [portfolio page](/portfolio/).

## When to get help

The import itself is a short job. Help pays off when the tracker needs approvals, reminders, a weekly report, or views for several teams.

I am Al Davies. I run 250 High Street from Berkeley Heights, NJ, and I work remotely with teams of 20 to 300 people. I spent 5 years at Verizon, first as a Product Manager, then as a Data Analytics Manager.

How it works:

1. Free 45-minute call. Your team shows me how you track the work today.
2. Free preview in 3 to 5 days. I send images of a potential tracker, and we decide together if it is on the right track.
3. Say yes, and I build it. One tracker: \$5,000, 2 weeks. Two trackers: \$8,500, 3 weeks, the best fit for most teams. Three trackers: \$11,500, 4 weeks.

Or write to <al@250highstreet.com> or call [(862) 205-4844](tel:+18622054844). Say what is still manual.

## FAQ

Updated 2026-10-27.

### How many items can a SharePoint list hold?

Up to 30 million. Keep each view at 5,000 items or fewer.

### Can I import an Excel file into a list?

Yes. Select New list, then From Excel. The data must be an Excel table. Headings become columns and rows become items.

### Will my formulas come across?

Plan to rebuild them as calculated columns and check the results.

### Does a list cost extra?

SharePoint comes with Microsoft 365 Business Basic, Standard and Premium. Check your own plan.

### Can I still use Excel after I move?

Yes. You can export a list view to Excel.

### What does 250 High Street charge to build a tracker?

One tracker is \$5,000 and takes 2 weeks. Two are \$8,500 over 3 weeks. Three are \$11,500 over 4 weeks. The 45-minute call and the preview are free.
