# One place for team updates instead of chat, email and spreadsheets

> Updates spread across chat, email and spreadsheets leave nobody with the full picture. Give an ops team one SharePoint list, shown in Teams, for status.

Short answer: updates scatter when each person reports in their own channel. Pick one SharePoint list as the place where status lives, add it as a tab in your Teams channel, and ask for updates there. Chat stays for talk; the list holds the current answer.

## Signs you need one place

- You check three apps to answer one status question.
- The spreadsheet is out of date by Tuesday.
- New people cannot find the history of an item.

## Steps to set it up

1.  Agree on what counts as an update: status, next step, blocker, date.
2.  Make a SharePoint list with those columns.
3.  Add the list as a tab in the team's Teams channel.
4.  Use column formatting so status shows as a color people can scan.
5.  Check that version history is on, so past updates are kept.
6.  Stop asking for status in chat. Link to the list item instead.

## Honest limits

- This is a habit change more than a tool change. It works only if the lead asks for updates in the list.
- A list is good for structured status. Long discussion still fits better in chat or a document.

Yes. You can add a list as a tab in a Teams channel.

Not if version history is on. It keeps earlier versions of each item.
