> Add a dropdown list to cells with Data Validation. Steps for a typed list or a range, how to block other entries, and what to check when the arrow is missing.

Short answer: select the cells, go to Data, then Data Validation, set Allow to List, and fill the Source box. Keep In-cell dropdown ticked, or the arrow will not show.

## Make the dropdown

1. Select the cells that should have the dropdown.
2. On the Data tab, select Data Validation. In Excel for the web, Microsoft's steps say Data Tools, then Data Validation.
3. On the Settings tab, set Allow to List.
4. In the Source box, do one of two things. Type values separated by commas, such as Open,Closed,On hold. Or select a range of cells that holds the entries.
5. Check that In-cell dropdown is ticked. Microsoft says: "Make sure that the In-cell dropdown check box is selected. Otherwise, you won't see the drop-down arrow next to the cell."
6. Select or clear Ignore blank, then select OK.

Exact names may differ on your screen.

## Put the entries on a sheet

Microsoft's drop-down page says: "Ideally, you'll have your list items in an Excel table." It also says to type the source list "on a sheet in a single column or row without blank cells." When you pick a range for Source, Microsoft's example leaves out the header row. Sort the entries in the order you want them to appear.

## Block entries that are not in the list

Open the Error Alert tab and tick "Show error alert after invalid data is entered". Then pick a Style. Microsoft says: "To stop people from entering data that isn't in the drop-down list, select Stop." Information and Warning show a message but still allow other entries.

## Edit the list later

- Typed list: reopen Data Validation and edit the Source box. Separate entries with commas.
- Range: edit the cells in the range. If the list gets longer or shorter, reopen Settings, clear the Source box and select the new range.
- On the web, Microsoft says: "In Excel for the web, you can only edit a drop-down list where the source data has been entered manually." A named range has to be changed in desktop Excel.

## Dropdown not working

1. No arrow: check that In-cell dropdown is ticked.
2. Data Validation is greyed out: Microsoft says "the worksheet might be protected or shared." Unlock the protected areas or stop sharing the worksheet.
3. List shows blank entries or stops short: check the Source range for gaps or a range that is too short.
4. A cell accepts any text: check the Error Alert tab and confirm the Style is Stop.
5. The arrow shows but entries look cut off: Microsoft suggests you "check to see if the cell is wide enough to show all your entries."

Our advice, not a Microsoft rule: in a shared tracker, keep the dropdown entries on their own sheet so nobody types over them by mistake. If several people enter data, see "[SharePoint list or Excel](/guides/sharepoint-list-vs-excel/)". A list column of type Choice does the same job.

## When to get help

You can build all of this yourself in Microsoft 365. If you would rather have it built and tested for your team, I do that. A tracker like this is a fixed price: \$5,000 for one, built in 2 weeks. See "[What a SharePoint tracker costs to build](/guides/what-a-sharepoint-tracker-costs/)". Bring one example of the problem to a free call.

I am Al Davies. I run 250 High Street LLC and build SharePoint trackers and Power Automate flows for operations teams. I work remotely. The first call is free, and I will not try to sell you anything.
